Long: Neatness,for another thing.That means clean,without smudges,finger marks or erasures.
White: Yes,never be guilty of sending off over your signature a letter that is soiled,creased,or torn,or that is in any way marred or unsightly.Anything else?
Long: That's all I can guess.
White: The last is the layout of your typing on the sheet.Whether long or short,your letter typed should present an even,well—balanced appearance,e.g.neither crowded at the top of the page nor sitting lopsidedly on one side of it.This seems easier today because it's very convenient for us to adjust the whole layout at will with pc.
Bear in mind that wide margins make your letter more readable and inviting.So if the letter is very long,use two sheets instead of crowding it all on one.But avoid an additional sheet for only one or two concluding lines of a letter.However,very short letter looks better when they are double—spaced,with either double or triple spaces between the paragraphs.
Long: Is that all for the appearance of a letter?
White: That's all,from my view.The good appearance is attractive and helps to catch the receiver's eyes.But if the receiver can understand the meaning you expressed,be interested enough in your letter and respond accordingly depend completely on the quality of your letter.There are many criteria for good quality business letters.Here I would like to tell you with the widely accepted 7C standards.They are Completeness,Correctness,Clearness,Conciseness,Concreteness,Courtesy and Consideration.
Completeness means that your letter to be sent off should contain all the necessary information you intend to convey to the receiver.If any piece of information is lacking,the receiver will have to ask for clarification.It will not only waste time,energy and money,but also lead to unfavorable impression to the reader.
Long: Let me try the correctness.It asks for correct grammar,punctuation and spelling of words.
White: Yes,but it refers much more than that.A letter may be perfect mechanically speaking,but still it does not achieve a desired effect at times.The criteria to judge if your letter is correct are if the information you supplied is true and if the reader understands your letter as you desired.To achieve this,you should choose the right words that can most closely convey the meaning of your thoughts,provide factual information and reliable figures,and be clear about the meanings of all the trade terms and jargons you quote.Say as things are.Don't overstate or understate.
